How to Manage Your Microsoft 365 Account

Your Microsoft 365 account is the identity that gives you access to everything — files, apps, Copilot, your tenant’s data. A few minutes managing it now saves hours of confusion later.

What it is

Your Microsoft 365 account is the work or school email address you sign in with. It’s not just a login — it’s the identity that connects you to your tenant, your files, your apps, your permissions, and (in 2026) your Copilot licence and usage history.

Most users never think about their account beyond signing in. But there are a handful of settings worth knowing about: how to sign out properly, how to switch between work and personal accounts on the same device, where to see your Copilot licence status, and how to set up multi-factor authentication securely.

The most common account problem is signing into the wrong one. If you have a personal Microsoft account (for Xbox, OneDrive consumer, or Outlook.com) on the same device as your work account, you’ll sometimes find yourself in the wrong context — and your work files won’t appear.

  4. Under My subscriptions or Apps & devices, see which Microsoft 365 plan you’re on and which apps you can install.
  5. If your organisation uses Copilot, look for the Copilot licence indicator — it’s typically visible in the account hub or via a ‘Copilot’ tile on the Microsoft 365 home.
  6. To sign out properly, click your profile picture and choose Sign out. Don’t just close the browser — that leaves you signed in.
  7. If you have multiple accounts on one device, learn to use the account switcher in the profile menu rather than signing out/in.

Best practices

  • Add a profile photo. It makes you findable for colleagues and avoids the ‘who is this person?’ feeling.
  • Use the Microsoft Authenticator app rather than SMS for MFA. It’s more secure and faster.
  • Sign out properly when you’re done on shared devices.
  • Know your Copilot licence status. It changes what’s possible in your daily work.

Common mistakes

  • Sharing your account credentials with a colleague. Don’t. Share access to specific files instead.
