THE EVERYDAY FRICTION

Sound familiar?

  • Five versions of the same file, and nobody knows which one is right
  • Names like FINAL_v7, USE THIS ONE and Copy of Copy
  • Folders inside folders inside folders
  • Nobody's sure who owns what, or what's safe to delete
  • Copilot pulling answers from the wrong version
THE RESULT

What you’ll have
after 7 days.

  • One library people can actually find things in
  • Plain-English file names instead of FINAL v2
  • Four columns that tell everyone what a file is, who owns it and whether they can rely on it
  • Views that show staff only published documents, and show owners exactly what needs their attention
  • A review routine that keeps it clean, and a process you can repeat on the next library

A clean SharePoint works better for everyone. And if you’re using Copilot, it’s essential: current, owned and clearly labelled content gives it a better foundation to work from.

YOUR SEVEN-DAY PLAN

One library.
A clear way through.

About 30 to 60 minutes a day.
Every Copilot step has a manual route.

  1. Before you startagree what the library is for, who owns it and what "better" looks like.
  2. Day 1turn on version history and add two temporary review fields.
  3. Day 2add the four columns people need: Department, Document Type, Document Status and Document Owner.
  4. Day 3build your clean-up work queues.
  5. Day 4let Copilot do the first pass, then check its work.
  6. Day 5turn findings into clear owner decisions.
  7. Day 6apply plain-English names and confirmed metadata.
  8. Day 7give staff and owners the views they'll use every day.
CAREFUL WITH YOUR CONTENT

Safe by design.

Find first, decide later.

Findings go into temporary fields, so a possible duplicate is a question, not a verdict.

Owners decide, Copilot suggests.

Nothing becomes official until a named person confirms it.

Small batches.

Test on 3 to 5 files, then work in batches of up to 20.

Nothing is deleted during the review.

No moving, renaming or deleting until an owner's decision is recorded.

THE FILES BEHIND THE FIX

What’s inside.

31-PAGE PDF

The guide

  • A day-by-day plan with a checkpoint at the end of every day
  • 33 ready-to-paste Copilot prompts, each beside the manual steps
  • Reference cards for every column and all six review outcomes
  • The exact question to ask the owner for each type of file
  • A naming rule with before-and-after examples
  • A bonus prompt library: Missing Metadata, My Documents, No Folders and Group by Document Type views, duplicate comparison, access review and more
  • How to save the review as a SharePoint skill and give the library a proper home page
EXCEL WORKBOOK

The companion workbook

  • Baseline sheet, daily tracker and review log with drop-downs
  • Approved changes table with your column values built in
  • Naming checker that flags FINAL, v2, Copy and underscores
  • 11 ready-written acceptance tests, a maintenance schedule and a progress page
IS THIS YOUR NEXT STEP?

Who it’s for.

Site owners, team leads and Microsoft 365 admins looking after a library that's got out of hand. You need site owner permission on one library, and a business owner who can make decisions about the content. You don't need a Copilot licence: every prompt has a manual route beside it.

BUILT BY LIZA TINKER

Real libraries.
Real experience.

I'm a Microsoft MVP for SharePoint with more than 25 years of hands-on experience. This is the process I use to clean up real libraries: careful, evidence-based and built around the people who use them.

BEFORE YOU START

Your questions, answered.

Do I need Microsoft 365 Copilot?

No. Every step has a manual route. Copilot makes it faster if you have it.

What permissions do I need?

Site owner permission on the library, so you can add columns and views.

How big a library can I clean up?

Any size. Seven days sets up the process; in a big library you keep working in batches.

Will I lose any files?

Not through this process. Nothing is moved, renamed or deleted until an owner has made a recorded decision.

Can I use it on more than one library?

Yes. Copy the workbook and run it again. Each library goes faster.

What format is it?

A PDF guide and an Excel workbook, delivered by email straight after purchase.
