How to Create an FAQ from Common Questions with Copilot

If three people have asked the same question, ten more probably want to. Copilot can turn your scattered answers into a clean FAQ that scales support.

What it is

Every team has a small set of questions that come up over and over — from new starters, from stakeholders, from customers, from other teams. Answering them individually is fine for the first few; by the tenth, you should have an FAQ. Copilot can build one from your existing answers (emails, chat threads, support tickets) in minutes.

Paste a batch of common questions and your existing answers. Ask Copilot to group them into categories, draft consistent answers in a clean format, and suggest a logical structure. What you get is a reusable FAQ document you can publish on a wiki, intranet page, or Teams tab. Suddenly the same question gets answered by the FAQ instead of by you, every time.

  • Use real wording from users. The FAQ should match how people actually ask, not how you think they ask.
  • Keep answers short by default. Provide a ‘more detail’ link for those who want depth.

  • Review the FAQ regularly. Outdated FAQs create more confusion than no FAQ.

Common mistakes

  • Building an FAQ nobody knows exists. Promote it, link to it, refer questions to it.
  • Letting answers go stale. The FAQ is a living document; review quarterly.

Should I publish Copilot-generated FAQs without review?

No. AI-generated answers can be subtly wrong or miss nuance that matters. Review every answer before publishing — the cost of a confidently-wrong FAQ entry is far higher than the time to verify. Use Copilot for the drafts, not the final published content.
