How to Explain a Complex Dataset to Non-Technical People with Copilot

The hardest part of communicating data isn’t the analysis — it’s the translation. Copilot turns complex findings into language anyone can understand.

What it is

Most data analysis ends up communicated to non-technical audiences — leadership teams, business stakeholders, customers. The analyst understands the data; the audience often doesn’t. The translation gap is where good analysis goes to die. Copilot is excellent at bridging this — turning technical findings into plain language without losing accuracy.

The trick is to give Copilot both the technical version and the audience. ‘Here’s what the data shows; explain this to a non-technical executive in 60 seconds.’ or ‘Here’s the analysis; rewrite it for an internal newsletter.’ The audience framing shapes the language: an executive needs the headline and the implication; a newsletter needs the story; a customer-facing message needs the relevance.

What you don’t want is over-simplification. Copilot can sometimes flatten technical detail to the point of misleading the audience. ‘Customer churn is up 8%’ is simpler than ‘churn rose from 3.2% to 3.5% (a 9.4% relative increase)’ but the second is more accurate. For high-stakes communication, ask for two versions and pick the right one.

  • When preparing a presentation, briefing, or report for a senior audience.
  • When you need a ‘what this means for you’ summary for customers or staff.

  2. Ask Copilot to explain it in plain language with a simple example.
  3. Specify the audience explicitly (executive, customer, general staff).
  4. Request a short ‘what this means’ section.
  5. Ask for a recommended chart type to communicate the insight.
  6. Validate terminology and ensure technical accuracy hasn’t been lost.
  7. Test the explanation on someone in your audience profile if possible.

  • Use everyday language and avoid acronyms unless defined. Spell out what your jargon means.
  • Explain one insight at a time, then build up. Don’t dump three findings into one paragraph.
  • Include the decision or action the data supports. Why should the audience care?
  • Use analogies carefully. Wrong analogies are worse than no analogies.

  • Over-simplifying to the point of inaccuracy. Better to use slightly more technical language than to mislead.
