SharePoint Quick Tip: Pinning Important Documents in SharePoint Libraries

Welcome to your weekly Simplify Your Workflow insight!

This week’s SharePoint Quick Tip is all about pinning important documents in SharePoint libraries—one of the most underutilised features that can save you and your team serious time.

I see this all the time—people scrolling endlessly through a document library trying to find that one file they use all the time. Instead of hunting through folders, you can pin key documents to the top of your library for quick access. It’s such an easy fix, but hardly anyone uses it!

Let’s dive into how you can use pinned documents to streamline your SharePoint experience and help your team find what they need faster.

What Does Pinning a Document Do?

When you pin a document, it stays at the top of your SharePoint library, above all other files. This means:

✅ You don’t have to search for it—it’s always visible.
✅ Your team knows exactly where to find key files.
✅ It improves productivity by reducing wasted time.

You can pin multiple files (and even images), so if you have a set of documents that are frequently used—like templates, reports, or policies—you can keep them front and centre.

How to Pin a Document in SharePoint

Setting up pinned documents is quick and easy. Here’s how to do it:

1️⃣ Go to Your Document Library – Navigate to the SharePoint library where your file is stored.
2️⃣ Find the File – Locate the document you want to pin.
3️⃣ Click the Three Dots (…) – This opens the actions menu.
4️⃣ Select “Pin to Top” – The file will move to the top of the library.
5️⃣ Repeat if Needed – You can pin multiple files for quick access.

That’s it! Now, every time someone visits the library, those pinned documents will stay right at the top.

Use Case: Why This is a Game-Changer

Let’s say you’re managing a project team, and everyone needs to refer to the same project brief and timeline. Instead of constantly emailing the link or reminding people where to find it, just pin it to the top of the library.

Now, every time a team member opens the document library, the key files are right there—no searching, no wasted time.

Pro Tip: Keep it Organised

Pinned documents should be high-value files—don’t overdo it! Stick to:

✔ Frequently accessed documents (templates, reports, policies).
✔ Files your team must refer to often.
✔ Key resources for onboarding or training.

If a file is no longer important, you can unpin it anytime by clicking the three dots again and selecting “Unpin”.

This tiny trick makes a massive difference in how efficiently your team works in SharePoint. Stop wasting time searching for files—pin your important documents now and simplify your workflow!
