With multiple stakeholders, evolving requirements, and a constant stream of updates, keeping everything organised is a challenge. Traditionally, I relied on a mix of Teams chats, OneNote pages, emails, and my own SharePoint-based project tracking list. But in reality, this often led to scattered information, version control issues, and missed updates.<\/p>\n\n<p>So how have I streamlined my project management process? <strong>Enter Microsoft Loop.<\/strong> It has completely transformed the way I work, allowing me to create <strong>dynamic, interactive components<\/strong> that sync across Teams, Outlook, OneNote, and other Microsoft 365 apps. Instead of static documents and endless email chains, I now have <strong>living project elements<\/strong> that stay updated wherever they\u2019re used.<\/p>\n\n<p>This is something I\u2019m currently testing and trialing in my own workflow. So far, the first three ways I\u2019m using Loop have been working really well. The other ways I\u2019ve experimented with some clients, but every project is different, and I need to adapt to their needs and communication styles as well.<\/p>\n\n<p>In this post, I\u2019ll share <strong>three real-world ways Loop has improved my SharePoint project management workflow<\/strong>, as well as a few other ways I have been experimenting with.<\/p>\n\n<h1 id=\"h-1-centralised-project-planning-amp-brainstorming\" class=\"wp-block-heading\">1. Centralised Project Planning &amp; Brainstorming<\/h1>\n\n<h2 id=\"h-scenario-kicking-off-a-new-sharepoint-project-and-defining-scope\" class=\"wp-block-heading\"><strong>Scenario:<\/strong> Kicking off a new SharePoint project and defining scope<\/h2>\n\n<p>When starting a new SharePoint project, I need a structured way to gather ideas, clarify objectives, and map out requirements. Previously, this meant multiple discussions, back-and-forth messages in Teams with my assistant, and a lot of digging to find key details.<\/p>\n\n<p id=\"h-how-loop-helps\" class=\"wp-block-heading\"><strong>How Loop Helps:<\/strong><\/p>\n\n<ol class=\"wp-block-list\">\n<li>\n<p>I create a <strong>Loop page<\/strong> as a shared project planning space.<\/p>\n<\/li>\n\n<li>\n<p>Inside this page, I embed a <strong>dynamic task list and a notes section<\/strong>.<\/p>\n<\/li>\n\n<li>\n<p>Team members can <strong>edit in real-time<\/strong>, whether they\u2019re in Teams, Outlook, or OneNote.<\/p>\n<\/li>\n<\/ol>\n\n<p id=\"h-example-use-case\" class=\"wp-block-heading\"><strong>Example Use Case:<\/strong><\/p>\n\n<p>Instead of emailing a Word document around for feedback, I drop a <strong>Loop component<\/strong> into a Teams chat. The whole team can refine the project plan <strong>simultaneously<\/strong>, and I always have the <strong>latest version without merging edits.<\/strong><\/p>\n\n<h1 id=\"h-2-dynamic-meeting-notes-amp-action-items\" class=\"wp-block-heading\">2. Dynamic Meeting Notes &amp; Action Items<\/h1>\n\n<h2 id=\"h-scenario-capturing-decisions-and-action-items-during-project-meetings\" class=\"wp-block-heading\"><strong>Scenario:<\/strong> Capturing decisions and action items during project meetings<\/h2>\n\n<p>Meeting notes are crucial, but let\u2019s be honest\u2014they often get lost. After back-to-back meetings, I sometimes struggle to find my notes and remember key decisions.<\/p>\n\n<p id=\"h-how-loop-helps-0\" class=\"wp-block-heading\"><strong>How Loop Helps:<\/strong><\/p>\n\n<ol class=\"wp-block-list\">\n<li>I use a <strong>Loop meeting notes component<\/strong> inside Teams <strong>before each meeting<\/strong>.<\/li>\n\n<li>Action items can be <strong>assigned within Loop<\/strong> and automatically sync to <strong>Planner and To Do<\/strong>.<\/li>\n\n<li>The component <strong>updates across Teams, Outlook, and OneNote<\/strong>, keeping everyone aligned.<\/li>\n<\/ol>\n\n<p id=\"h-example-use-case-0\" class=\"wp-block-heading\"><strong>Example Use Case:<\/strong><\/p>\n\n<p>Instead of manually following up on who\u2019s responsible for what, I <strong>assign tasks during the meeting<\/strong>, and they <strong>appear in everyone\u2019s task lists instantly<\/strong>. No more \u201cI didn\u2019t see that email\u201d excuses!<\/p>\n\n<h1 id=\"h-3-real-time-documentation-amp-knowledge-base\" class=\"wp-block-heading\">3. Real-Time Documentation &amp; Knowledge Base<\/h1>\n\n<h2 id=\"h-scenario-managing-evolving-sharepoint-governance-policies-and-documentation\" class=\"wp-block-heading\"><strong>Scenario:<\/strong> Managing evolving SharePoint governance policies and documentation<\/h2>\n\n<p>Governance documentation is never static\u2014policies change, best practices evolve, and updates need to be communicated efficiently.<\/p>\n\n<p id=\"h-how-loop-helps-1\" class=\"wp-block-heading\"><strong>How Loop Helps:<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>I create a <strong>Loop page for governance policies<\/strong> that can be embedded into <strong>Teams and SharePoint<\/strong>.<\/li>\n\n<li>As updates are made, the content <strong>syncs across all locations<\/strong>, ensuring consistency.<\/li>\n\n<li>Teams can <strong>collaborate in real-time<\/strong> on updates without creating multiple document versions.<\/li>\n<\/ul>\n\n<p id=\"h-example-use-case-1\" class=\"wp-block-heading\"><strong>Example Use Case:<\/strong><\/p>\n\n<p>When refining a <strong>document classification framework<\/strong>, I used <strong>Loop to workshop changes with stakeholders<\/strong>, ensuring everyone was on the same page\u2014literally.<\/p>\n\n<h1 id=\"h-other-ways-i-use-loop-for-sharepoint-projects\" class=\"wp-block-heading\">Other Ways I Use Loop for SharePoint Projects<\/h1>\n\n<p>While the first three ways have been a success in my workflow, I\u2019ve also experimented with additional ways to use Loop in SharePoint projects. Managing these in a static document is inefficient.<\/p>\n\n<p id=\"h-how-loop-helps-2\" class=\"wp-block-heading\"><strong>How Loop Helps:<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>I use a <strong>Loop risk register component<\/strong> to track risks and assign owners.<\/li>\n\n<li>Action items automatically integrate with <strong>Planner<\/strong> for follow-ups.<\/li>\n\n<li>Updates <strong>sync across Teams and OneNote<\/strong>, so no risk goes unnoticed.<\/li>\n<\/ul>\n\n<p id=\"h-example-use-case-2\" class=\"wp-block-heading\"><strong>Example Use Case:<\/strong><\/p>\n\n<p>For a complex SharePoint migration, I tracked <strong>user access risks<\/strong> in a <strong>Loop register<\/strong> that linked directly to remediation actions. Project Status Reporting<\/h1>\n\n<h2 id=\"h-scenario-keeping-executives-and-stakeholders-updated-on-sharepoint-project-progress\" class=\"wp-block-heading\"><strong>Scenario<\/strong>: Keeping executives and stakeholders updated on SharePoint project progress<\/h2>\n\n<p>Weekly project reports are <strong>time-consuming<\/strong> and often <strong>outdated the moment they\u2019re sent<\/strong>.<\/p>\n\n<p id=\"h-how-loop-helps-3\" class=\"wp-block-heading\"><strong>How Loop Helps:<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>I create a <strong>Loop dashboard<\/strong> with <strong>dynamic fields for project status, blockers, and next steps<\/strong>.<\/li>\n\n<li>This dashboard <strong>lives inside Teams and Outlook<\/strong>, updating <strong>automatically<\/strong>.<\/li>\n\n<li>Executives always have a <strong>live snapshot of progress<\/strong> without waiting for reports.<\/li>\n<\/ul>\n\n<p id=\"h-example-use-case-3\" class=\"wp-block-heading\"><strong>Example Use Case:<\/strong><\/p>\n\n<p>Instead of sending a <strong>static PowerPoint every week<\/strong>, I share a <strong>Loop project summary component<\/strong> in <strong>Teams<\/strong>, giving real-time insights into project health.<\/p>\n\n<h1 id=\"h-conclusion\" class=\"wp-block-heading\">Conclusion<\/h1>\n\n<p>Microsoft Loop is <strong>revolutionising SharePoint project management<\/strong> by reducing <strong>duplication, version control headaches, and miscommunication<\/strong>.
