In simple terms, a page<\/strong>\u00a0in SharePoint is a web-based layout that displays content within a site. Pages are used to:<\/p>\n

\n\u2705 Display text, images, videos, and embedded content
\n\u2705 Organise links and navigation for a better user experience
\n\u2705 Act as a dashboard for important information<\/p>\n

Every SharePoint site comes with at least one page\u2014usually the home page<\/strong>\u2014but you can create additional pages to structure and present content more effectively.<\/p>\n

Types of Pages in SharePoint<\/strong><\/h2>\n

There are three main types of pages in SharePoint, each serving a different purpose:<\/p>\n

    You don\u2019t need to create a new page for everything! Here\u2019s when it makes sense to add a page to your SharePoint site:<\/p>\n

    \u2705 1. When You Need to Present Information Clearly<\/strong><\/h3>\n

    If you have important information that people need to refer to frequently\u2014like a project overview, team responsibilities, or HR policies<\/strong>\u2014a SharePoint page is a great way to structure it visually.<\/p>\n

    \u2705 2. When You Want to Organise Content Without Cluttering Document Libraries<\/strong><\/h3>\n

    Not everything belongs in a document. Instead of dumping everything into a document library, consider creating a page with key information and linking to related files<\/strong>.<\/p>\n

    For example, instead of having multiple Word documents explaining a process, create a single SharePoint page<\/strong>\u00a0that summarises the process with links to key documents<\/strong>.<\/p>\n

    Use SharePoint pages as a dashboard<\/strong>\u00a0to display real-time data, reports, or important links using web parts<\/strong>\u00a0like:<\/p>\n

    \nQuick links to key resources
    \nUpcoming events from Outlook or Teams<\/p>\n

    \u2705 4. When You Want to Share Regular Updates (Use News Pages!)<\/strong><\/h3>\n

    Instead of sending another long email, create a news page<\/strong>\u00a0and let SharePoint do the work of distributing it. Users can access the update directly from SharePoint or Teams.<\/p>\n

    When NOT to Create a Page<\/strong><\/h2>\n

    When a List or Library Would Work Better<\/strong>\u00a0\u2013 If you\u2019re tracking tasks, assets, or requests, a SharePoint list<\/strong>\u00a0is a better option.<\/p>\n
