This post will explain the structure and best practices of working between these different apps in Microsoft 365.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-onedrive-vs-sharepoint-vs-sharepoint-sites-in-teams\">OneDrive vs SharePoint vs SharePoint Sites in Teams<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-onedrive\"><strong>OneDrive<\/strong><\/h3>\n\n\n\n<p class=\"\">Think of <strong>OneDrive <\/strong>as your personal workspace in Microsoft 365. Think of it as your digital notebook\u2014the place where you store your drafts, private files, and things you\u2019re not quite ready to share.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-sharepoint\"><strong>SharePoint<\/strong><\/h3>\n\n\n\n<p class=\"\"><strong>SharePoint <\/strong>is designed for collaboration. It\u2019s the central hub where your team\u2019s shared content lives. Every time you create a <strong>Team<\/strong> in Microsoft Teams, a <strong>SharePoint site<\/strong> is created behind the scenes to store all the team\u2019s files.<\/p>\n\n\n\n<p class=\"\">Within that SharePoint site is a <a href=\"https:\/\/simplysharepoint.com\/stagenew\/tag\/document-libraries\/\">document library<\/a> called <strong>Documents<\/strong>, and folders are automatically created for each <strong>channel<\/strong> in your Team. For example, if you have channels called \u201cMarketing\u201d and \u201cFinance\u201d in your Team, you\u2019ll find folders with the same names inside the Documents library of your SharePoint site.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-happens-when-you-share-a-file-in-teams\">What happens when you share a file in Teams?<\/h2>\n\n\n\n<p class=\"\">When you attach a file to a post within a channel in Teams, that file is <strong>automatically uploaded<\/strong> to the corresponding channel\u2019s <strong>folder <\/strong>in the SharePoint Documents library. For example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">If you post a document in the \u201c<strong>Marketing<\/strong>\u201d channel, it goes into the \u201c<strong>Marketing<\/strong>\u201d <strong>folder <\/strong>in the SharePoint site\u2019s Documents library.<\/li>\n\n\n\n<li class=\"\">From there, anyone in your Team can access it, provided they have the right permissions.<\/li>\n<\/ul>\n\n\n\n<p class=\"\">This means Teams and SharePoint are constantly working together to keep your files organised and accessible.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-best-practices-for-using-onedrive-sharepoint-and-teams-together\">Best Practices for Using OneDrive, SharePoint, and Teams Together<\/h2>\n\n\n\n<p class=\"\">How do I manage my files between these different apps? Following are my golden rules:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-draft-in-onedrive\">Draft in OneDrive<\/h3>\n\n\n\n<p class=\"\">OneDrive is the perfect place to work on your personal drafts or files you\u2019re not quite ready to share. Treat it as your workspace, not a collaboration hub.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-upload-to-sharepoint-when-it-s-time-to-collaborate\">Upload to SharePoint When It\u2019s Time to Collaborate<\/h3>\n\n\n\n<p class=\"\">Once your document is ready to be shared with the team, upload it to the appropriate channel\u2019s Files tab in Teams. This ensures it\u2019s saved in the right folder in the SharePoint Documents library.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-share-links-not-attachments\">Share Links, Not Attachments<\/h3>\n\n\n\n<p class=\"\">Instead of attaching files to email or Team posts, use the Copy Link feature in the Files tab to share the document. This keeps everyone working on the same version and avoids the nightmare of duplicate files.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-understand-your-channels\">Understand Your Channels<\/h3>\n\n\n\n<p class=\"\">Channels in Teams help you organise conversations and files by topic. Always upload files to the correct channel\u2019s Files tab to keep things tidy and easy to find.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-create-a-single-source-of-truth\">Create a Single Source of Truth<\/h3>\n\n\n\n<p class=\"\">To reduce confusion and to ensure consistency, make sure all your team members know where to access the most up-to-date file. For the team, that should always be the SharePoint Documents library accessed via the Teams channel.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-tips-to-keeping-things-organised\">Tips to Keeping Things Organised<\/h2>\n\n\n\n<p class=\"\">Following are some tips that I recommend to enhance the use of your libraries in SharePoint and to make it easier to find your documents<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-upload-correctly\">1. Upload Correctly<\/h3>\n\n\n\n<p class=\"\">When you upload a file to a channel via a post, make sure you are uploading the file itself and not just a link to your OneDrive file. This ensures the document is accessible to everyone in the team.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-2-add-shortcuts\">2. Add Shortcuts<\/h3>\n\n\n\n<p class=\"\">Add a shortcut from the folder for your channel to OneDrive. This way, you can work directly from OneDrive if that\u2019s your preference while still keeping files synced to SharePoint.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-3-leverage-metadata\">3. Leverage Metadata<\/h3>\n\n\n\n<p class=\"\">Since the library in Teams is actually a SharePoint library, you can build out <a href=\"https:\/\/simplysharepoint.com\/stagenew\/what-is-metadata-anyway\/\">metadata<\/a><a href=\"https:\/\/ndz.hhz.mybluehost.me\/website_d8938f02\/what-is-metadata-anyway\/\"> <\/a>columns to track additional data. You can also add folders and colour-code them to make it easier to find items.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-4-organise-regularly\">4. Organise Regularly<\/h3>\n\n\n\n<p class=\"\">If you\u2019re building out a folder structure within the site, periodically move documents from posts into the folder structure after collaboration is complete. This keeps everything organised and easy to navigate.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-5-archive-when-done\">5. Archive When Done<\/h3>\n\n\n\n<p class=\"\">Once a project or collaboration is over, plan to archive documents elsewhere over time to save on SharePoint storage costs.
